Privacy Policy

How we handle your info and keep things transparent

Last updated: January 2024

Introduction

Look, we're architects, not data brokers. But yeah, we need some info to do our job properly.

At Frosthal Quintar Architecture, we take your privacy seriously - like, really seriously. We've built this practice on trust and transparency, same way we design buildings. This policy explains what information we collect when you reach out to us or browse our site, and more importantly, what we actually do with it.

We're based in Vancouver, BC, and we follow Canadian privacy laws including PIPEDA (Personal Information Protection and Electronic Documents Act). No funny business, just straight talk about your data.

What Information We Collect

Data privacy concept

When You Contact Us

If you're reaching out about a project or just have questions, we'll collect:

  • Your name and how you'd like us to address you
  • Email address and phone number
  • Physical address (if you're discussing a property project)
  • Project details you share with us
  • Any photos, plans, or documents you send over
  • Communication preferences

Website Usage Data

Like most sites, ours collects some technical stuff automatically:

  • IP address and general location data
  • Browser type and device info
  • Pages you visit and how long you hang around
  • Where you came from (referral sources)
  • Date and time stamps of your visit

Project Information

Once we're working together, we'll obviously need more detailed stuff - site surveys, budget info, design preferences, municipal requirements, all that jazz. But we only collect what's actually necessary for your project.

How We Use Your Information

We're not gonna beat around the bush here. Your info helps us:

Project Work

Designing your space, coordinating with contractors and engineers, dealing with permits, and keeping you updated throughout the process.

Communication

Responding to your inquiries, sending project updates, sharing relevant info about timelines or changes.

Legal Stuff

Meeting our professional obligations, maintaining records as required by law, and protecting both our interests if disputes come up.

Improvements

Making our website better, understanding what services folks are interested in, and improving how we work.

We won't sell your information to third parties, use it for random marketing campaigns, or share your project details without permission. That's a promise.

Who We Share Data With

We keep your info pretty close to the chest, but sometimes we gotta share with:

Project Partners

Structural engineers, contractors, sustainability consultants - folks who need your project info to do their part. We only share what's necessary and make sure they respect your privacy too.

Municipal Authorities

Building departments, planning offices - they need certain info for permits and approvals. Can't get around that one.

Service Providers

Our web hosting company, email service, cloud storage - the technical backbone. They're bound by confidentiality agreements.

Legal Requirements

If the law requires it or we need to protect our legal rights, we might have to disclose information. But we'll fight it if it seems unreasonable.

Website cookies

Cookies & Tracking Tech

Yeah, we use cookies - not the chocolate chip kind, unfortunately. They help our site remember you and work properly.

Essential Cookies

These keep the site functioning. Can't really turn these off without breaking things.

Analytics Cookies

Help us understand how people use the site so we can make it better. We use anonymized data where possible.

Preference Cookies

Remember your choices so you don't have to keep telling us the same stuff.

You can control cookies through your browser settings. Just know that blocking some might make the site a bit wonky.

Your Rights & Choices

This is your data. You've got rights, and we respect that.

Access

Ask us what info we've got on you. We'll show you.

Correction

Found an error? Let us know and we'll fix it.

Deletion

Want your data gone? We'll delete it (unless we legally have to keep it).

Portability

Need your data in a transferable format? We can do that.

Opt-Out

Don't want marketing emails? Unsubscribe anytime.

Object

Disagree with how we're using your info? Tell us why.

To exercise any of these rights, just shoot us an email at studio@frosthalquintar.info or call us at (604) 555-0142. We'll get back to you within 30 days.

How We Keep Your Data Safe

We take security seriously - think of it like designing a building's structural integrity, but for your data.

  • Encrypted connections (SSL/TLS) for all data transmission
  • Secure cloud storage with regular backups
  • Limited access - only team members who need it can see your info
  • Regular security audits and updates
  • Strong password policies and two-factor authentication
  • Secure file sharing for project documents

That said, nothing's 100% foolproof online. We do our best, but if something goes wrong, we'll let you know ASAP and work to fix it.

How Long We Keep Your Data

We don't hoard information forever. Here's the general timeline:

  • Active projects: Throughout the project and for 7 years after completion (that's what professional regulations require)
  • Inquiries that don't turn into projects: Up to 2 years, then we delete them
  • Website analytics: Typically 26 months
  • Financial records: 7 years for tax purposes
  • Marketing stuff: Until you unsubscribe or we clean our lists (usually annually)

After these periods, we securely delete or anonymize your data unless there's a legal reason to keep it longer.

Third-Party Links

Sometimes we link to other sites - maybe a supplier's catalog, a certification body, or project references. Once you click away from our site, this privacy policy doesn't apply anymore. Those sites have their own policies, so check them out if you're concerned.

We try to only link to reputable sites, but we can't control what they do with your data.

Kids' Privacy

Our services aren't directed at anyone under 18. We don't knowingly collect information from minors. If you're a parent and think your kid has shared info with us, let us know and we'll delete it right away.

International Data Transfers

We're based in Canada, and most of our data stays here. But some of our service providers might store data on servers in other countries (looking at you, cloud services). When that happens, we make sure they meet Canadian privacy standards or have adequate protections in place.

If you're browsing from outside Canada, your data might cross borders. By using our site, you're cool with that.

Changes to This Policy

Things change - new laws, new tech, new ways of working. When we update this policy, we'll post the new version here and update the date at the top. If it's a major change, we'll shoot you an email if we have your address.

It's worth checking back occasionally to see if anything's changed.

Questions or Concerns?

We're here to help. Seriously, if something in this policy confuses you or you've got questions about your data, just reach out. We'd rather talk it through than have you worried.
